Administrative Assistant

The Opportunity

The Administrative Assistant is an integral part of the CPS team. The Administrative Assistant will report to the leadership team and will serve as a key point of contact for staff, visitors and families. The Administrative Assistant must be physically present in the school Monday through Friday from 7:30 AM - 5:15 PM.

Responsibilities

Administrative Support:

  • Greet and assist visitors and ensure the front desk is always covered 

  • Answer phone calls made to the school

  • Coordinate all student field trips 

  • Enter data into school databases (QuickSchools, Admissions, etc.) 

  • Coordinate admissions Shadow Day visits

  • Maintain student records

  • Serve as primary point of contact for the bus, lunch, and cleaning companies

  • Manage communications regarding attendance (i.e. calling home, responding to voicemails)

  • Prepare and organize school documents and information, including weekly take homes, report cards, and admissions applications 

  • Track school-wide data and follow up as needed

  • Gather mail and distribute to staff 

 

Operational Support:

  • Inventory check, order, and restock (snacks, toilet paper, paper towels, plates, etc.)

  • Deliver all outgoing mail to a post office in a timely manner 

  • Pick up lunch daily from House of Bread in Hartford, CT

  • Clean, collect, and return House of Bread pans after lunch 

  • Obtain necessary driver’s license endorsement to help transport students to and from afternoon activities 

  • Assist with van maintenance 

Other duties, but not limited to: act as a liaison to the staff, supporting marketing efforts, attending school events, preparing materials for events, scheduling meetings and other requests from the school staff.

Qualifications

  • Excellent communication skills (writing and speaking) 

  • Relationship builder and collaborative spirit

  • Strong organizational skills and attention to detail

  • Ability to individually work on multiple projects simultaneously 

  • High energy, positive attitude, flexible, team player

  • Proficient with Google Suite and Microsoft Office

  • Ability to use discretion when dealing with confidential student information 

  • Experience working as an administrative assistant preferred 

  • Bilingual in English and Spanish preferred
